Assistant Manager, MRI Centre Operations
Job Description
We are seeking a highly organised and performance-oriented Assistant Manager to support the safe, efficient and reliable day-to-day operation of our research-dedicated MRI Centre. Reporting to the MRI Associate Director and MRI Associate Director and MRI Associate Head, the appointee will focus on internal operations, scanner scheduling, workflow and SOP improvement, KPI monitoring, resource coordination and service quality.
General Qualification
Key Responsibilities:
1. Centre Operations & Scheduling
• Coordinate daily MRI Centre operations to support safe, orderly and efficient delivery of research activities.
• Manage the central booking schedule, balancing study requirements, staffing, equipment availability, planned maintenance and operational constraints.
• Monitor scanner utilisation, downtime, cancellations, no-shows and schedule adherence, and recommend practical improvements.
• Coordinate participant flow and operational handovers while ensuring approved check-in, documentation and escalation procedures are followed.
• Maintain accurate operational records, booking data, equipment logs and supporting documentation.
2. Workflow & SOP Optimisation
• Review workflows and identify bottlenecks, recurring delays and avoidable operational risks.
• Draft, update and implement operational SOPs, checklists and work instructions under the direction and approval of the MRI Associate Director and MRI Associate Head.
• Coordinate staff training when approved workflows or SOPs are introduced or revised.
• Track corrective actions and follow through on agreed process improvements.
3. Performance & KPI Monitoring
• Maintain an operational KPI dashboard covering utilisation, downtime, cancellations, turnaround time, service quality, incidents and other agreed indicators.
• Prepare regular performance reports for the MRI Associate Director and MRI Associate Head, highlighting trends, exceptions, risks and recommended actions.
• Support operational planning by analysing demand, capacity, workload and resource requirements.
• Monitor completion of agreed actions and report delays or barriers promptly.
4. Resources, Quality & Compliance
• Coordinate staffing rosters, consumables, procurement requests, equipment servicing and vendor visits in accordance with approved procedures and budgets.
• Support implementation of institutional requirements relating to health and safety, participant consent, data privacy, incident reporting and research governance.
• Refer MRI-safety or clinical decisions to designated qualified personnel; the role does not replace authorised MRI-safety, radiography or medical functions.
• Handle operational enquiries and service issues, escalating strategic, external or high-risk matters to the MRI Associate Director and MRI Associate Head.
• Perform other internal operational duties assigned by the MRI Associate Director and MRI Associate Head.

Requirements:
• Bachelor's degree in healthcare management, science, engineering, business administration or a related discipline; a relevant postgraduate qualification is an advantage.
• At least three years of relevant experience in research facility operations, medical imaging services, healthcare operations, clinical research administration or a related environment.
• Experience in MRI, medical imaging or a regulated healthcare or research environment is strongly preferred.
• Demonstrated experience in scheduling, workflow improvement, SOP management, KPI reporting or operational performance analysis.
• Strong organisational, analytical and problem-solving skills, with careful attention to detail and follow-through.
• Proficiency in Microsoft Excel, Word, PowerPoint and scheduling or database systems.
Strong communication skills and the ability to work effectively with researchers, technical staff and internal stakeholders.
• Sound judgement regarding confidentiality, safety escalation and operational risk.
