Job Description:
We are seeking a highly organized and detail-oriented Project Assistant to join our team. The ideal candidate will play a key role in supporting project management activities related to the field of biomedical engineering and its technology transfer process, ensuring smooth operations, and maintaining effective communication across internal and external stakeholders. Key Responsibilities:

1. Documentation and Reporting:
Prepare, manage, and distribute project reports and documentation for internal and external stakeholders.
Maintain accurate and up-to-date project records, ensuring all information is easily accessible and well-organized.

2. Project Monitoring:
Monitor project progress, track milestones, and update project timelines as needed.
Identify and report any potential issues or delays to the Project Manager.

3. Communication and Coordination:
Coordinate internal communications to ensure seamless information flow among team members and stakeholders.
Facilitate and schedule meetings, ensuring all necessary resources and materials are prepared in advance.

4. Meeting Support:
Prepare meeting agendas, take detailed minutes, and distribute follow-up action items to relevant parties.
Compile and present reports during meetings to support decision-making processes.

5. Office Organization:
Maintain and organize office files, records, and project documentation systematically for easy retrieval.
Ensure all physical and digital records are up-to-date and compliant with company policies.

6. Administrative Support:
Assist the Project Manager with various administrative tasks, including scheduling, correspondence, and task tracking.
Perform other duties as assigned to support the successful execution of projects.

General Qualification

Requirements:
A bachelor’s degree or above in Science, Business Administration or other related fields.
Proven experience in project coordination, administration, or a similar role.
Excellent written and verbal communication skills. Good command of English, Mandarin and Cantonese is preferred.
Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools.
Attention to detail and a commitment to accuracy.

Remuneration & Duration of Appointment

The remuneration package will be highly competitive, and commensurate with qualifications and experience. Fringe benefits for full-time appointments include leave and medical insurance, etc. Initial appointments will be made on a fixed-term contract. The possibility of re-appointment after the initial contract period will be based on performance evaluation and mutual agreements.
